Job Purpose & Scope :

 To provide excellent support to employees and visitors with regards to all General Administration functions at the assigned location and Liaise with the respective authorities effectively to protect the best interest of the company.

 

Major Areas of Responsibilities

Facilities Management :

  • Ensure Conference facility is managed with adequate amount of seating arrangement, upkeep and maintenance of the furniture, proactive checking of conference equipments, tie up with caterers, availability of tea/snacks, managing the conference hall booking calendar, etc.
  • Manage the Directors Residence properties, liaise with society, MTNL, BSES, Utility Service Providers, LIC, BMC, Manage company Inventories and its timely updating, Repairs and Maintenance of office and residence building etc.
  • Exposure in handling of high end residential building such as CMD/Directors residence.
  • Exposure in vehicle management such as procurement, services, appointment of drivers, fuel management etc.
  • Exposure in laisioning with society, MTNL, Power utility companies etc.
  • Ensure about all utility payment done on time.
  • Manage Admin petty cash Company owned vehicle, insurance timely renewal, and appointment of drivers, vehicle service and updating its tracker.
  • Set Facilities standard in consultation with location seniors and ensure that the standards are not compromised by anybody in any manner.
  • Manage the assigned renovation or interior decoration work. Co-ordinate with contractor, architects and team on the ground to ensure timely completion of project.
  • Support in either buying or disposing decision of any of the company assets.

Security and Surveillance :

  • Implement system to track movement of material in/out of premises, maintain and check register of incoming and outgoing incumbents.
  • Set security controls to ensure that only relevant employees are allowed entry with a gate pass inside the company premises.

Repairs & Maintenance:

  • Ensure all AMC’s are in place and are renewed well before expiry dates
  • Ensure that all office equipments are in proper working conditions and up to the mark at locations

Government Authorities:

  • Liaison with all the government related agencies whenever required e.g., RTO / Passport, Shops & Establishment, BMC and other local government offices etc.
  • Ensure to maintain cordial relations & rapport with these said agencies.

Miscellaneous :

  • Establish a system to avail stationary facility, review usage and control at it by taking appropriate steps which are in the larger interest of the company.
  • Organize and co-ordinate corporate events and functions assigned from time to time e.g. Annual Function, Long Service Award, New year function, Jamnalal Award function, CSR events, Festival celebrations e.g. Dasara, Diwali and Navratri Pooja etc.
